CasePeer + Quilia: Integration Guide

This guide shows you how to connect CasePeer with Quilia. You connect once from the Quilia Portal by logging in to CasePeer — no Zapier, no API keys. New cases then flow into Quilia automatically, and client activity from Quilia posts back to CasePeer as notes, photos, and documents.

Connect CasePeer in Quilia

  1. In Quilia, go to SettingsFeatures.
  2. Under Integrations, pick CasePeer from the dropdown.
  3. Click Enable if the integration isn't enabled yet.
  4. Click Connect. You'll be sent to CasePeer to log in and approve the connection.
  5. After you approve, you land back in Quilia and the status shows Connected.

That's it. There is nothing to set up inside CasePeer — no API keys to copy and no Zapier account required.

When does information sync?

CasePeer → Quilia

  • New cases: imported automatically. Quilia checks CasePeer for new cases every 15 minutes.
  • Case changes (phase/status): synced on the same 15-minute schedule.

Quilia → CasePeer

  • Client activity: posted to CasePeer as case notes every 15 minutes.
  • Files: included in the same 15-minute batch.

What information syncs back to CasePeer?

Everything clients do in the Quilia app shows up in CasePeer.

Posted to Case Notes

  • CaseChat messages
  • Completed requests and forms
  • Check-ins, status acknowledgments, reminders completed
  • Document upload events and other in-app actions

Files

  • Images (injury photos, progress pics) land in the case's Photos.
  • Everything else (PDFs, Word docs, and other files) lands in Documents, inside a Quilia folder that we create for you on the case.

Quick checks if something breaks

  • No new cases showing up? Give it 15 minutes — imports run on a schedule, not instantly.
  • Got logged out or disconnected? Reconnect CasePeer in Quilia under Settings → Features → Integrations — click Reconnect and log in to CasePeer again.
  • Missing phone or email on an imported case? Add it in CasePeer and it will sync on the next 15-minute pass, or update it directly in Quilia.

What to expect

  • You add a case in CasePeer. It appears in Quilia within 15 minutes.
  • Your client uses Quilia. Their activity is logged to Case Notes in CasePeer every 15 minutes.
  • Your client uploads files. Images go to Photos and other files go to the Quilia folder in Documents, in the same 15-minute batch.
  • You change a case phase in CasePeer. The change syncs to Quilia within 15 minutes.

FAQ

How long does setup take?

About 2 minutes. Log in to the Quilia Portal, click Connect, log in to CasePeer, done.

Do I need Zapier?

No. Earlier versions of this integration used Zapier for new-case import. Quilia now pulls new cases directly from CasePeer every 15 minutes. If you set up a Zap in the past, you can turn it off.

Do I need an API key or connection code?

No. You connect by logging in to CasePeer from the Quilia Portal. There is nothing to copy or paste.

Do edits in CasePeer auto-update Quilia?

Yes. Case phase and status changes sync to Quilia on the 15-minute schedule.

What exactly do you send back to CasePeer?

Everything clients do in the app shows up as Case Notes. Images land in Photos, and other files land in a Quilia folder in Documents.

Is the data push instant?

No — both directions run on a 15-minute schedule.

Can we import existing cases?

Yes. Use Import Existing Clients in Quilia to pull in the ones you want.

Do clients get messages from CasePeer automatically?

No. Clients only get what you send through CaseChat or what you configured as phase messages inside Quilia.

Short version for everyone

Add new cases in CasePeer like normal. They show up in Quilia within 15 minutes and the client gets invited from there. Anything the client does in Quilia is pushed back to CasePeer every 15 minutes as notes; images land in Photos and other files land in the Quilia folder in Documents.

For intake

Create the case in CasePeer. Confirm client name, phone, and case type so the data maps cleanly. The case flows to Quilia automatically — no extra steps.

For case managers

Watch CasePeer Notes for Quilia activity, Photos for image uploads, and the Quilia folder in Documents for everything else. Phase changes you make in CasePeer sync to Quilia automatically.
