Linking your Quilia case to a Filevine project enables automatic synchronization between the two systems. This guide walks you through finding your Filevine project ID and adding it to an existing case in Quilia.
What You'll Need
- Access to both Quilia Portal and Filevine
- An existing case in Quilia that you want to link
- The corresponding project in Filevine
Step 1: Open the Case in Quilia
Navigate to the case you want to link in the Quilia Portal. On the case view, you'll see a Filevine section in the left sidebar showing the current project ID status.
Click the pencil icon next to "Project ID" to open the edit dialog.

Step 2: Open the Edit Project ID Dialog
The Edit Project ID dialog will appear with a warning about synchronization. This is normal - the warning reminds you that changing the project ID will affect how data syncs between Quilia and Filevine.

Step 3: Find Your Filevine Project ID
Open the case in Filevine and look at the URL in your browser's address bar. The project ID is the number that appears after `/project/` in the URL.
Example URL: `sandbox.filevineapp.com/#/project/992225747/activity`
In this example, the project ID is 992225747.

Pro tip: You can paste the entire Filevine URL into the Project ID field, and Quilia will automatically extract the ID for you.
Step 4: Enter the Project ID and Save
Back in Quilia, enter the project ID (or paste the full Filevine URL) into the Project ID field.
- Enter the project ID or paste the Filevine URL
- Check the confirmation box acknowledging the synchronization warning
- Click Save
The case is now linked to your Filevine project. Any future syncs will use this connection to keep both systems updated.
Troubleshooting
"This CMS Case ID is already linked to another case"
This error means the project ID you entered is already connected to a different case in Quilia. Each Filevine project can only be linked to one Quilia case. Verify you're using the correct project ID.
Changes not syncing after linking
After linking a project ID, the next automatic sync will pick up the connection. You can also use the Sync button in the Filevine section to manually trigger a sync.
